We are currently developing a new breed of CIO function, where we trust our people to enable our entire business by delivering a first-class, customer-focused, service for all our corporate IT systems. We are undertaking a transformation programme of our IT estate including moving to cloud-hosted applications, migrating our desktop and laptop estate to a common Windows 10 build, leveraging the power of Office 365 for mobile working and collaboration as well as rolling out a refreshed hardware estate to keep the business running. All of this is to enable the business and remove the friction that can come with traditional models for supporting commodity IT.

Responsibilities:

Maintaining business reporting mechanisms which provide a transparent view of the health of the Portfolio to internal and external stakeholders by:

  • Obtaining internal reporting requirements and ensure business questions can be answered
  • Maintain and incrementally improve reporting solutions that provide data, insight and intelligence in accessible and influential formats; advising, guiding, and challenging the Portfolio on priorities, where to focus attention and close-proximity decisions/issues.
  • Analyse Portfolio cross-functional data and translate into meaningful insights
  • Liaise with Project Support Officers to share analysis and understand any contextual knowledge not known which could influence the insights.
  • High level stakeholder management/engagement
  • Designing filing systems / knowledge management approach
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees; following up on work results.
  • Keeps management informed by reviewing and analysing special reports; summarizing information; identifying trends.
  • Maintains office staff by recruiting, selecting, orienting, and training employees.

Previous experience:

You will have experience of working in a Portfolio Office, Programme or Project Management Office, preferably supplemented with on-the-ground delivery experience. More generally, you will be able to demonstrate:

  • Experience of working in a project environment including any of the following: programme office, project office, programme support, programme administration or similar
  • Good working knowledge of general MS office applications including: MS Word, MS Teams, PowerPoint, Outlook
  • Intermediate to advanced knowledge of specifically MS Office Excel and MS Project
  • Excellent communication skills -both oral and written, keen awareness of audience, able to present complex information to both technical and non-technical audiences;
  • Experience of working with project supply and demand, budgets, forecasts and trackers and providing reports of financial and/or supply and demand data would be advantageous
  • Experience of project estimating methods and assumptions, risks and issues would be beneficial
  • Strong analytical skills with well-honed abilities to interpret complex data, discern trends and draw implications to support effective decision-making.
  • Experience in producing and maintaining portfolio/programme plans, documentation and management information for governance boards and senior management;
  • Flexibility and responsiveness to change; a high level of initiative and ability to flex programme management techniques and practices to fit a dynamic and wide-ranging Portfolio;
  • Ability to develop relationships with internal and external stakeholders.
  • PRINCE2 or otherwise suitably qualified and demonstrable experience in project leadership and use of structured delivery methods. An understanding of the other AXELOS Global Best Practices (including M_o_R, MSP and ITIL) would be beneficial given the close alignment to the corporate project delivery approach.
  • Prepared to travel to various locations in the UK on occasion.
