PMO Team Lead

Capita IT Resourcing is partnered with a leading Business Process Outsourcing organisation in their search for a PMO Team Leader to join them in their Bristol office. The successful candidate will be responsible for:

  • Management of (task and line) the allocated team to deliver the agreed PMO Terms of Reference Services for which you are responsible. Ensure the PMO Services are delivered to time, cost and quality, to the Account or Programme to which you are assigned.

As PMO Team Lead you will be responsible for the support of the PMO/Regional PMO Manager by ensuring that;

  • the assigned PMO Terms of Reference Services, are delivered to time, cost and quality.
  • the PMO Services are delivered in a way that supports the account or programme key stakeholders in their primary delivery objectives:
    • business plan,
    • service delivery
    • client relationship
  • Relevant Capita and Client Corporate Governance and associated controls, methodologies, policies and procedures are adhered to
  • Objectives set at Central PMO level and the needs of the account align, seeking out mutually satisfactory and pragmatic solutions where necessary to enable this.
  • Relevant policies and procedures e.g. holiday booking, time bookings, absence management are applied consistently across Project Support Services
  • Issues and concerns and advised and/or escalated appropriately and in a timely way with your line manager
  • Maintain effective stakeholder management relationships with your internal and external clients, colleagues and 3rd parties through timely and effective communications, including action to resolve issues or progress opportunities
  • Provide the 1st line point of escalation for the PMO Services for which you are responsible, ensuring the PMO Service Delivery/Regional/PMO Manager are kept informed, escalating any unresolved issues as appropriate
  • Ensure the team are cross-skilled to enable absence cover and succession plans are in place and maintained
  • A forward plan (workmap/calendar) of task and duties for the team is regularly maintained and published
  • Timesheets for yourself and team are completed accurately and submitted in accordance with PMO and account/programme standards
  • An appropriate level of commercial awareness is maintained by yourself and team when delivering PMO Services to external clients and/or via 3rd party liaison
  • Regular development/maintenance of PMO processes and supporting documents for the assigned PMO Services
  • On behalf of the Service Delivery Manager/Regional/PMO Manager:
      • ensure that the governance and reporting processes are maintained and remain 'Fit for purpose'
      • Production of MI and reporting packs for formal and informal joint and internal governance meetings, including ensuring review and sign-off for all relevant stakeholders (including Service Delivery Manager/PMO Manager ) prior to issue for the meetings
      • chair/lead formal joint and internal governance meetings, and supporting formal/informal meetings as requested by the Service Delivery Manager/Regional/PMO Manager
  • Regularly monitor and review delivery of the PMO Services for which you are responsible (method, reporting and frequency to be agreed, minimum quarterly), ensuring the results and recommendations of the review are shared with your Service Delivery/Regional/PMO Manager and any required approved changes are planned, communicated, implemented and monitored
  • Deputise for the Service Delivery Manager/Regional/PMO Manager as and when requested
  • Provide appropriate review and challenge to internal and external stakeholders, including identification and timely resolution or escalation of risks and issues
  • Support the PMO Services Continuous Improvement programme

Knowledge and experience:

  • PMO professional with a detailed understanding of a particular PMO Service area or understanding across the various PMO Services, and/or experience as a Project Manager or Business Change Manager.
  • Awareness of the end-to-end lifecycle of Business Change / IT development programmes and projects.
  • Strong influencing, negotiation and communication skills with a strong customer service focus, coupled with commercial awareness. Empathetic and open with the ability to see things from both the Capita and Client perspective and ability to work towards solutions that work for both sides.
  • Proven ability to manage effective stakeholder relationships to senior management level and experience working in an internal and external client and service delivery environment
  • Proactive and tenacious driving ideas forward and ensuring they are implemented
  • Strong networking skills with an ability to develop and maintain a wide network of contacts within the business areas and IT
  • Planning and organising capabilities with proven experience in process and service improvements
  • Proactive with good decision making ability, able to recognise and exploit opportunities
  • Pragmatic and flexible approach to problem solving, ensuring that governance and reporting approaches are 'Fit for Purpose' and provide real value rather than sticking to the 'status quo'
  • A good working knowledge of the Outlook, Word, Excel and PowerPoint. Ideally some Visio, Internet Explorer, SharePoint and SAP timecode set up experience.
  • Strong experience of working in any of the following: Programme Office, Project Office, Programme Support, Programme Administration, Project Administration or similar.
