PMO Governance and Secretariat Administrator



I am looking for a highly organised PMO Governance and Secretariat Administrator to manage the delivery of Governance and a full secretariat service across the Portfolio, and support the Portfolio Office team in their day to day activities.

Key Responsibilites include (but are not limited too:)

  • Set up meetings and capture minutes, actions and updates for timely dissemination across a range of internal stakeholders
  • Map the Portfolio Governance schedule and disseminate to stakeholders
  • Ensure actions are followed up and recorded
  • Set up and maintain Webex meetings as required
  • Ensure reminders are sent out to Project Managers at the appropriate time
  • Compile meeting packs for use in project and portfolio meetings
  • Set up / management of Portfolio Governance and internal meetings
  • Provide full secretariat service to the Portfolio including excellent meeting minutes
  • Portfolio Office and Governance Diary management
  • On site office support
  • Administer internal Portfolio processes e.g starters and leavers. Proactive manangement and monitoring of governance reporting schedules
  • Produce and maintain a new starters pack
  • Management and control of change management
  • Managing administration processes that ensure accurate record keeping and compliance across multiple teams

The most important skills which will gurantee you an interview are:

  • Previous secretariat experience
  • A can do attitude
  • Highly organised
