Payroll Co-ordinator required by our leading client in London.
ITrent / Payroll / Baseline / Business Objects
This role is to support the Payroll Supervisor in end to end processing of both ARL Payrolls with specific responsibility for the West Anglia (WA) Payroll Processing (approximately 210 employees every 4 weeks)
Role and responsibilities

  • Assist in the Pension Reconciliation process and completion of associated administrative tasks in the Pension Portal, handling Payroll queries and providing Payroll targeted advice to ARL Employees in responsibilities (bullet points)
  • Co-ordinate the timely end to end processing of the WA Payroll and ensure that all payroll input is quality checked and meets our supplier's requirements in terms of accuracy and format, output to be reconciled, authorised and audit tracked. Also assist Payroll Supervisor on the Classic ARL Payrolls.
  • Support on the collation of Payroll data received from Rosters team, data to be sorted and transferred into a compatible format for our Payroll supplier. Data loads to be dated and forwarded to supplier every week for processing
  • Assist Payroll Supervisor in maintenance and administration of the ARL Pension schemes including input into the Employer Portal as required
  • Provide professional advice, guidance and support to managers and employees on all remuneration, and compensation in accordance with current employment legislation, relevant ARL terms and conditions and policies and procedures
  • Work closely with Rosters and other management teams to receive timely data on WA Payroll to Payroll deadlines
  • Assist the payroll supervisor with sorting and answering payroll related queries and emails coming into the Payroll, Pension and Arvato (payroll integration) inbox's for both Payrolls.

  • Support Payroll Supervisor on the Payroll checking and reconciliation process taking Finance Director through Payroll sign off procedure for the WA Payroll. In the Payroll Supervisors absence to deputise with sign off of Classic Payroll
  • Work and support HR admin team in ensuring data received from them via the payroll integration is accurate and support Payroll Supervisor on authorizing Payroll actions in the HR system (Workday).
  • Assist the Payroll Supervisor in updating Payroll documentation, including development of relevant guidance notes including documentation for provision of roster dataloads to Payroll Supplier
  • Assist and support Payroll Manager and Payroll Supervisor in maintenance of the payroll system and where possible, aid in future development of iTrent modules such as creating Elements and Accumulators etc.
    Assist in provision of Business Objects report to HR team and wider ARL Management teams as required
  • Assist and resolve any errors that may occur between the HR system and payroll system
  • Maintain payroll documentation in line with GDPR requirements

  • Support the Payroll Supervisor with salary sacrifice and other benefit administration e.g. holiday purchase, cycle to work, Child care vouchers etc.

Skills and experience requiredEducation:

  • Minimum of 5 years Payroll experience is essential
  • Previous experience of working on Payrolls with Salary Sacrifice Pension Schemes is desirable
  • In depth knowledge of Payroll legislation Ability to work under own initiative and the ability to meet tight deadlines
  • Knowledge of creating Elements, Accumulators and User Calculations in iTrent or similar system experience would be an advantage
  • Knowledge of working in Payrolls with complex terms and conditions including rostered staff is desirable
  • Experience of working in payroll where manual processing has been necessaryKledge:

  • iTrent (Payroll) experience is essential (using Electric theme)
  • Business Objects experience is essential
  • Evidence of keeping Payroll legislation knowledge up to datekills and competencies:
  • Strong communication skills to confidently deal with complex queries effectively and explain outcomes to all levels of staff
  • Excel experience including sound knowledge of pivot tables and v-look ups is essential
  • High attention to detail
  • Must be flexible and able to manage tasks and activities during Payroll peaks across both Payrolls to meet appropriate deadlines.
  • Able to manage multiple tasks with tight deadlines
